In this role, the selected candidate will perform moderately complex, specialized administrative duties with minimal supervision. They will plan, prioritize and coordinate business projects and initiatives that impact Research Center operations. The nature and complexity of the work requires technical expertise, resourcefulness, independent judgment and decision-making.

What You’ll Do:

  • Coordinates and schedules meetings and travel arrangements; maintains Outlook calendars. Answers and screens incoming calls to provide information and direct calls to appropriate staff. Requires a thorough knowledge of Research Center and an ability to interpret policies, procedures, and practices within the assigned areas.
  • Conducts duties such as submitting invoices, payroll information and maintains service provider contracts and vendors.
  • Coordinates a variety of administrative or program-specific information. This includes purchasing requisitions, good receipts, and invoicing using R/3 or Espree systems.
  • Serves as key resource to the work unit for the WWShipping seed system. Answers questions or follows up with responses to questions.
  • Attends and participates in departmental or team meetings. May organize agendas, provide input, take minutes, and distribute information.
  • Prepares correspondence and detailed reports of business activities. Proofreads for content and typographical errors and supplies correct punctuation and grammar as needed.
  • Establishes and maintains files, reports, and other hard copy or computerized information related to departmental operations. Information may be highly confidential.
  • Attends and participates in station meetings as requested. May organize, provide input, take minutes, and distribute information.
  • Oversees orientation training for all part-time employees and enrolls them in the R/3 system.
  • Provides follow up training & supervising of new part-time personnel for accuracy and efficiency.
  • Establishes and maintains files, reports, and other hard copy or computerized information related to station or departmental operations.
  • Information may be highly confidential.
  • Coordinates recruiting, orientation and on-boarding of summer pollinators.
  • Active member/coordinator for community engagement projects.
  • Assumes active role in implementing and participating in Safety Programs which may include participation on the local Safety Committee.
  • Assists in assigning of Safety Qualifications for all local Pioneer Hi-Bred Int’l employees.
  • Completes Safety Training and enforces Safety Requirements with all part time employees.
  • Prepares and presents assigned Safety Programs for local training of employees.
  • Completes regularly scheduled safety reviews as assigned by the safety committee including eye wash station, security lighting, etc.
  • Organizes and executes technical program-related tasks and projects within short timelines and competing priorities
  • Ability to be resourceful in acquiring needed information or knowledge about new or unfamiliar situations which may include equipment problems, procedures followed, and observations made.
  • Provide examples of no more than two types of decisions routinely made on the job including the results/outcomes of those decisions.
  • Prioritizes multiple tasks and project work based on business needs and value to the research center.
  • Exercises judgment in determining when, how and what key tasks need to be assigned, and/or completed by part time help or themselves.

Qualifications

What Skills You Need:

  • High School Diploma/GED required. Associate’s Degree preferred.
  • Two or more years of administrative and/or safety related experience
  • Strong interpersonal skills and ability to develop and maintain effective relationships.
  • Strong oral and written communication skills
  • Demonstrated computer proficiency including use of spreadsheets or database systems
  • Demonstrated organization and problem-solving skills
  • Proficient use of MS Office Suite
  • Ability to manage multiple tasks and competing priorities
  • Requires strong organizational, time management and communication skills.
  • Strong collaboration and facilitation skills.
  • Good communication, negotiation, consulting and coaching skills in a cross cultural context.
  • Demonstrates initiative, persistence, creativity, and ability to work independently and within a team.
  • Ability to maintain and protect confidential information
  • Safety experience strongly preferred.

This positions is required to work in office 5 days a week.
